How we look after your information.

This policy covers the information you send through this website. Your clinical records are held separately by the clinic or hospital that treats you, under their own privacy notice.

Who is responsible for your information

Ace Hearts Limited is the data controller for information sent through this website, trading as Kingston Cardiologist in Kingston upon Thames, Surrey. It is registered in England and Wales, company number 15459628, and is registered with the Information Commissioner's Office as a fee payer under reference ZB850710, which you can check on the ICO's public register.

Dr Roy Jogiya is its sole director and the consultant who sees you. He is registered with the General Medical Council, registration number 6105400, and is bound by the duty of confidentiality that comes with that registration.

What we collect, and when

We collect what you choose to give us, plus one technical detail that is explained below. If you fill in the enquiry form on this site, that is your name, your email address, your phone number, the clinic you have selected, and whatever you write in the message box.

We do not ask for your date of birth, your address, your NHS number or any payment details anywhere on this website. If you are asked for those, it will be by the clinic you book with, not here.

One thing is collected automatically. When you send the enquiry form, our server notes the internet address your device is connecting from, known as an IP address, so that it can stop the same connection sending the form over and over. It is used for nothing else. It is never added to your enquiry, never included in any email and never written to a database. Vercel, which hosts this site, keeps its own server logs that record internet addresses, in the ordinary way that any web host does. Our basis for both is a legitimate interest in keeping this site working and free from abuse.

Information about your health

The message box asks how Dr Jogiya can help. If you describe symptoms, a diagnosis or treatment you have had, that is information about your health, which UK data protection law treats as a special category and protects more strictly than ordinary contact details.

Please keep the message brief and avoid sending detailed medical information, test results or documents through this form. An enquiry form is not a secure clinical channel and it is not the right place for a full history. There is time for all of that in the consultation itself, and the team can arrange a call if it is easier.

If your symptoms are urgent, do not use this form. Chest pain, sudden breathlessness, or a collapse needs emergency care, so call 999.

Why we are allowed to hold it

For your contact details, we rely on our legitimate interest in answering an enquiry you have chosen to send us, and on taking steps at your request before you decide to book an appointment.

For anything you tell us about your health, we rely on the condition in UK data protection law that covers the provision of health care by a professional who owes a duty of confidentiality. In plain terms, you have written to a doctor about a health concern so that he can help you with it.

You are never obliged to tell us anything about your health in order to get an appointment. Your name and a phone number are enough.

Who else can see it

Your enquiry is handled by Dr Jogiya and the small team who manage his appointments.

If you use the booking form and choose a clinic, your request is sent to that clinic's own booking team so that they can offer you a date, and Dr Jogiya is copied on it. That means Heartsure, New Victoria Hospital, Kingston Private Health or Cleveland Clinic London for a private appointment, or the cardiology administration team at Kingston Hospital or Guy's and St Thomas' for an NHS query. Those teams are separate organisations and handle your information under their own privacy notices. Choosing a virtual consultation or a second opinion sends it to Dr Jogiya rather than to any clinic, and a general enquiry is not sent to a clinic either.

Beyond that, three suppliers are involved in getting the message where it is going.

  • Resend, which delivers the email on our behalf.
  • Seonat, which maintains this website. Its shared mailbox is copied on every message sent through this site, including booking requests sent to a clinic or to an NHS cardiology team, so that none is missed. That copy is used only to check the form is working and to chase anything that goes unanswered.
  • Vercel, which hosts this website and serves its pages.

These suppliers act on our instructions and are not permitted to use your information for their own purposes. Some of them operate outside the UK, so your information may be transferred abroad. Where that happens it is covered by the safeguards UK data protection law requires for international transfers.

We do not sell your information, we do not share it for advertising, and we do not pass it to anyone else without your permission unless the law requires it.

How long we keep it

Enquiries that do not lead to an appointment are deleted within twelve months. If you go on to become a patient, the clinical record of your care is kept separately by the clinic or hospital that treats you, for the period their own retention policy sets. This website holds no clinical records at all.

Cookies and tracking

This website sets no advertising or tracking cookies, and it does not profile you. We do not currently run any analytics on it. If that changes, this policy will be updated first and you will be asked for consent before any non essential cookie is set.

Your rights

You can ask us at any time to do the following.

  • Give you a copy of the information we hold about you.
  • Correct anything that is wrong.
  • Delete it.
  • Restrict what we do with it, or object to us holding it at all.
  • Send it to you, or to someone else, in a portable format.

Email info@kingstoncardiologist.com and we will respond within one month. There is no charge.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Changes to this policy

If this policy changes, the revised version appears on this page and the date at the top is updated.
